Financial advisors share screens more than they would like to admit. Portfolio reviews. Retirement planning walkthroughs. Tax-loss harvesting demonstrations. The Regulatory Landscape
GLBA Privacy Rule requires financial institutions to safeguard customer information. Screen capture of a banking portal during a client call creates an unaudited copy of that information in the conferencing platform's recording, the advisor's local cache, and potentially the client's own recording.
FINRA Rule 3110 mandates supervision of registered representatives. If a junior advisor shares a screen and leaks client data, the supervising principal is liable for inadequate controls.
SEC Rule 17a-4 specifies how electronic communications must be stored. Screen captures are not recognized as compliant recordkeeping formats. A screenshot of a client portal stored in a Zoom cloud recording may violate retention and retrieval requirements.

The Specific Leak Risks for Advisors
Portfolio management platforms. Tools like Orion, Black Diamond, and Tamarac display account balances, holdings, and client names in the UI. A Display Capture share broadcasts all of it.
CRM overlays. Salesforce Financial Services Cloud or Redtail often show client names, phone numbers, and account numbers in sidebar widgets that persist even when you switch to a different module.
Browser autofill. When logging into a client portal during a demo, the browser dropdown may suggest other client names or account numbers from previous sessions.
Email notifications. A "Wire Transfer Confirmed" banner from the custodian appears mid-review and displays the amount and destination account.

The Limitation
